Job Description

The National Multiple Sclerosis Society mobilizes people and resources to drive research for a cure and to address the challenges of everyone affected by MS. Staff members engage volunteers through effective and timely communications, facilitating meaningful opportunities, and continually seeking and providing feedback for reciprocal growth and learning.

We have an exciting opportunity to join our national Finance team as a Constituent Information Coordinator.

The Constituent Information Coordinator serves as key support in the day to day operations in a shared services model for managing and reporting constituent information, a critical part of driving forward the Society vision to leverage Constituent information to inspire powerful lifetime relationships in the MS movement. The Constituent Information Coordinator is responsible for fulfilling the capture, maintenance, reporting and acknowledgment of Constituent information on behalf of the chapters supported by this site. The role of the Constituent Information Coordinator is critical to Society ability to leverage Constituent information to improve the Constituent experience, to turn Constituent insight into strategic action and to grow Constituent value by building powerful relationships.

Essential Function/Responsibility
The daily operations of the Constituent Information Management Center consists of the following strategic areas of information management:

Event Information Management

  • Complete registration and pre- and post- event entry, or any other defined practices for managing event-related constituent information
  • Manage split gifts and transfer gifts; identify and maintain the best practice for "money moves"
  • Manage the cycle for matching gifts from the matching gift company; process in the future may become a fully centralized one.
  • Create event calendar

Seasonal Staff Management

  • Achieve operational objectives by leading and coaching seasonal staff to excel in performance for service delivery, constituent information processing and information quality in turnaround time, accuracy, speed, quality and feedback.
  • Makes recommendations to Information Center Manager on seasonal staff personnel actions and assists in hiring of seasonal staff.
  • Motivates and trains seasonal staff to achieve peak productivity and performance through coaching.

Constituent Information Management

  • Create source, program, event, interest and classification codes into the database of record/constituent relationship management solution(s)
  • Update basic contact information and profile information, including address changes and customer preferences for communication
  • Maintain data quality of records through the merging of duplicate records and transactions, and correction of errors related to universal standards of excellence
  • Complete monthly reconciliation reports between finance and constituent information teams and systems in order for chapter staff to perform their reconciliations
  • Manage cross reference Convio to Altair process

Acknowledgment

  • Generate acknowledgment reports and ensures proper disbursement of all donor acknowledgments within one week of gift receipt, including memorials and tributes.

Program/Services Information Management

  • Completes entry of program, client services and professional education registrations as defined as standard practice for the information center
  • Enter interactions and service provider information (Top 20) as appropriate
  • Create program/services event calendar as appropriate

Database Management

  • Submit technical issues through the ticketing system to Information Technology as necessary and appropriate

Volunteer Engagement

  • Partner with and engage volunteers to accomplish the daily work in constituent information management.
